1. Acceptance of Terms and Conditions​

These Bella Doula Retreat (BDR) Terms and Conditions (Terms) shall apply to all participants of the BDR retreat taking place at the Baltvilla Hotel in Latvia from 29 May - 1 June 2025. By using the online registration form to register for the retreat the participant acknowledges and accepts these Terms and agrees to be contacted by BDR at any time for future communication.

 

2. Food & Beverages

The following meals as well as coffee/tea breaks are included in the retreat price:

• Thursday 29.5.25 – dinner

• Friday 30.5.25 – breakfast, lunch, dinner

• Saturday 31.5.25 – breakfast, lunch, dinner

• Sunday 1.6.25 – breakfast & lunch

3. Registration Procedure

The participant registers for the BDR retreat by fully completing the online registration form. Should the participant require further information on the registration procedure or have any further questions, please contact BDR.

 

4. Payment

After the registration form is received by BDR, an invoice (including payment information) will be sent to the participant. Registration is complete when BDR has received payment in full.

 

5. Visa Requirement

A visa may be required for non-Schengen countries. Only in case of a visa application rejection, refunds will be made provided that:

​

• the visa application was filed before 28.2.2025;

• a document from the embassy is sent immediately after the rejection to BDR.

 

Notification of visa rejections after the retreat will not be accepted.

 

The participant is responsible for:

​

• arranging appropriate travel authorisations to travel to, and gain entry, into Latvia;

• all costs associated with obtaining such authorisations.

 

6. Insurance and Liability

BDR cannot be held liable for any hindrance or disruption to the retreat such as political, social or economic unrest, government endorsed health measures, extreme weather events or any other unforeseen incident beyond control. BDR accepts no liability for any personal injuries, loss (including theft) or damage to property sustained by participants during the retreat. BDR recommends that all participants are adequately insured with respect to personal, health and travel safety and security.

 

7. Privacy Policy

All personal information provided by participants via the registration form will be used solely for the purpose of registration and for providing information on the retreat to registered participants. All personal contact data provided in connection with the retreat may be used (saved, stored, processed, transmitted and deleted) in accordance with the interaction objective of the retreat.

The personal information will be:

​

• gathered and treated by BDR in compliance with EU regulations on privacy policy;

• kept under the control of BDR at all times and will not be provided to others without the participant's consent.

 

8. Cancellation Policy

Cancellation by the participant: Cancellation of the registration can only be done by e-mail to belladoularetreats@gmail.com. The date of termination is the date of the e-mail from the participant.

 

Cancellation by BDR: BDR has the authorisation to suspend the obligations or terminate the agreement, if any of the following apply:

​

• cancellation of the retreat due to political, social or economic unrest, government endorsed health measures, extreme weather events or any other unforeseen incident beyond control;

• there are not enough participants, according to BDR;

• the participant does not live up to the obligations from the agreement;

• BDR learns of circumstances of the participant regarding the ability to not live up to the agreement;

• due to delay from the participant, it is no longer possible for BDR to live up to the original conditions of the agreement;

• in case a participant has, prior to the meeting, not fulfilled their financial obligations, BDR has the authorisation to deny the participant’s access. If the access is denied, the participant is still obliged to pay the charged amount.

 

9. Refund Policy & Processing

Please note that there is a non-refundable registration fee of €100. If a participant cancels their registration under provision of a reason acceptable to BDR, the following refund scale will apply:

• More than 12 weeks before the start of the event 100% refund

• More than 8 weeks before the start of the event 70% refund

• More than 4 weeks before the start of the event 40% refund

• More than 2 weeks before the start of the event 10% refund

 

If you are unable to attend but can find someone to take your place, please e-mail BDR at belladoularetreats@gmail.com. Under special circumstances BDR may make an exception to the above-mentioned refund scale. Refunds will be made after the retreat and always exclude the non-refundable registration fee of €100 as well as the costs for the payment itself.

In case of overpayment or double payment, refund requests including valid proof of the overpayment or double payment must be made in writing and sent to BDR at belladoularetreats@gmail.com no later than 30.6.2025.

 

10. Media Waiver

BDR may take images, video and sound recordings to document certain parts of the retreat. These will be used to archive the retreat and may also be used in promotional material for future events. If the participant does not wish to be portrayed in any of this media material, they are required to formally advise BDR well in advance by sending an e-mail to belladoularetreats@gmail.com.
